Timesheet: week view

The timesheet week view is best for people working on a smaller number of tasks across a week, or don't need to update their timesheet throughout the day.

Projectworks offers two modes for doing timesheets, a week view, and a day view.

The week view of your timesheet lets you enter time across multiple days at once. Timecodes you add to your timesheet will be available to use all week, and if you pin them they'll be there ready for you the following week. 

The week view is best for people who typically work on a small number of tasks across the week, and/or don't need to update their timesheet throughout the day.

Even if you use the week view to do your timesheet, we believe that the best practice is to complete your timesheet every day. It is the best way to ensure you record your time accurately and it helps Project Managers keep track of progress and budgets. 

To use the week view mode, go to your timesheet and click the week view button. If you work on a variety of timecodes across the week, or different timecodes each day, you may find using the day view easier. You can switch between week and day view whenever you want, so you can find which one suits your working style best.

The week view will work best for people who don't need to enter time throughout the day and prefer to enter their time for a whole day (or a few days) to go. Each week your timesheet will either start fresh or with the timecodes that you have "pinned" on your timesheet.

Timecodes that are pinned are displayed at the top, with the other timecodes displayed below grouped within projects. Refer to the timesheet tools & tips article for details on the various controls to help you with your timesheet.

Note: The total number of hours entered for the week is always shown at the bottom of your timesheet so you can keep track of your total worked throughout the week.

How to enter time

Entering time in easy - it's as simple as adding the amount of time you have worked against the relevant timecode. 

Add time to timecode already on your timesheet

For timecodes that are already on your timesheet, you simply need to enter the time you have spent against the timecode and enter a comment. The time you enter should be the total time you have worked on that timecode that day, That means if you enter some time against a timecode in the morning and do more work on it later in the day, you'll need to edit the original entry and increase the time. In day view mode you have the option of entering a timecode multiple times on a day. .

Add a new timesheet entry 

There are two ways to find the timecodes you need to add to your timeheet.

Add new timesheet entry using the standard search

The standard search lets you locate the project you need and shows a list of timecodes you can choose from. 

  1. To add a new entry to your timesheet click the "add timesheet entry" button and search for the project you are working on. 
    1. you can type the name to filter your options, or click the arrow to see a list of all active projects.
    2. the search will also check client names, so if you type the name of a client it will return all active projects for that client
    3. Projects you have entered time against in the previous 5 weeks will be listed first under the Suggested projects heading
  2. Once you select the name of your project you will be shown all the timecodes that are available to you.
  3. Select the timecode (or multiple timecodes) you need and click save to add it to your timesheet
    1. enter the time you have worked, either in minutes (eg 90), hours and minutes (eg 1:30) or hours as decimals (eg (1.5). All of these will be saved and shown on your timesheet as 1:30.
    2. enter a brief comment
  4. Your entry will be saved automatically when you click out of the fields.

Pro Tip: you can search for a combination of client name and project name - eg "Acme website" will return any projects for the client "Acme", with "website" in the project name.

Add new timesheet entry using the advanced search

The advanced search allows you to search across company, project, budget, and timecode names. Clicking the timecode from the list will add it directly to your timesheet. So if you know the name of the timecode you need to use this will be the fastest way to get it onto your timesheet.

  1. To add a new entry to your timesheet click the "add timesheet entry" button enter a forward slash ( / ) to enter advanced search mode.
    1. Enter a search term (can include client, project, budget, or timecodes)
    2. A maximum of 10 timecodes will be returned in the results. Timecodes you have used in the previous 5 weeks (or have just been made available) will be listed first. Use multiple words to narrow your search.
  2. Click the required timecode and it will be added to your timesheet
    1. enter the time you have worked, either in minutes (eg 90), hours and minutes (eg 1:30), or hours as decimals (eg (1.5). All of these will be saved and shown on your timesheet as 1:30.
    2. enter a brief comment
  3. Your entry will be saved automatically when you click out of the fields.

Pro Tip: The advanced search works as a keyword search across company, project, and timecode names. You can use a combination of words to find your timecode quicker. eg "development" will likely return many search results, while "development Acme" will return a more refined list.

TIP: Use the copy & paste options if you want to enter the same entry (time and comments) in multiple days
